You can invite new users or edit existing user accounts from the Settings sprocket in Virtana Platform. All users are added at an organization level.
When invited, users receive an email from Virtana with a link to the Virtana Platform. The user must click the link to complete the registration process with Virtana Platform. When registration is complete, users can log in either with credentials or using SSO, depending on how the customer environment is configured. Multi-factor authentication can also be configured to work with Virtana Platform.

When the Virtana Platform account is set up, at least one organization is created as part of the platform, with an administrative user account associated with it. This user, and any additional administrators, can invite other users to the organization. The Users tab is accessed from the Settings sprocket on the title bar.
Note
You must have administrator privileges to access any of the functionality under Settings.
Following are some tips to note when creating or modifying a user account.
-
Users are based on email addresses.
When inviting users, you can enter one or multiple email addresses, which can be typed in or pasted in the new user field.
-
Addresses must be space-delimited.
Using a return, comma, semicolon, or other non-alphabetic character after an email address results in the address being removed from the new user field.
-
Any incomplete or duplicated email addresses are rejected and will not display in the new user field.
-
If you try to invite a user who already exists, a message indicates that the existing user will be skipped. However, that user's email address remains in the list of addresses in the new user field.
-
Addresses to which emails will be sent are highlighted in green and display an email icon. Addresses that already exist as users in Virtana are highlighted in gray and have a checkmark icon.
-
When a user address is submitted, an email invitation is sent to the user from Virtana. The email includes a link that opens Virtana Platform and requests confirmation that the invitation is accepted.
-
When a user is invited to Virtana Platform, the username is added to the User List with a status of Pending. When the user accepts the invitation and successfully logs into Virtana Platform, the account becomes active.
-
From the User List, you can identify the role assigned to any user account.
When the Virtana Platform account is set up, an organization is created as part of the platform, with an administrative user associated with it. This user can invite additional users to the organization. Thereafter, anyone assigned an administrator role can invite users.

Login Defaults
If you are a member of more than one organization, you can select the organization that displays by default when you log in. You can also select the Virtana Platform page within that organization to serve as your landing page at login.
An organization typically represents a company for which specific workloads are grouped for migration or optimization. With a Virtana Platform Enterprise account, an organization can also contain subordinate organizations (sub-orgs) and departments.
In the Workload Placement module, projects belong to organizations or sub-orgs. Project workloads can only be uploaded to a single organization or sub-org.
In Cloud Cost Management (CCM), reports, billing, and recommendations are all provided on a per-organization basis.
Tip
Carefully consider the relationships of organizations, including sub-orgs, and the project files you will upload to them. Projects cannot be moved between organizations. You would have to delete the project and any work done on it, and then create a new project using the original archive file.
An organization is created at the time your Virtana Platform account is set up. Sub-orgs can be created at any time. However, all organizations and sub-orgs are created by Virtana.
When an organization is created, an initial administrator must be designated for the account. With a Virtana Enterprise account, users can belong to more than one organization, but the initial administrator for any organization must be added individually by Virtana. Thereafter, additional users, including more administrators, can be added by any administrator.
Users are invited to Virtana Platform per organization. This applies to both Workload Placement and CCM.

You can generate a report of the Virtana Platform licenses you have purchased and are using. The report is provided as an XLSX file that you can download for offline viewing.
Reports are generated per module, by selecting either Cloud Cost Management (CCM) or Workload Placement. A time range must also be specified. Only one report can be generated at a time.
A maximum of 10 reports can display in the list. If you download a report for the same module and same time range, it replaces any existing reports with the same parameters. Downloaded report files are named by the selected date range.
Reseller and MSP partners can run reports that include information about their own licenses and the licenses and license consumption of their customers.
License Usage Reports for MSPs and Resellers
A user in a child sub-org, who is assigned an administrator role, can run a license report showing the consumption of licenses by their child sub-org. However, a user for the sub-org cannot see the parent organization’s license quantity in the report, even if they are sharing the parent's license.
An administrator for a parent organization can run a license usage report for the parent organization as well as any child sub-orgs. If a child sub-org is consuming the parent's license, then that child sub-org's consumption against that license is shown.
